1. Scope of Services
Rowantree Media provides wedding video editing services, including (but not limited to) colour grading, audio mixing, footage enhancement (“restore” work), and related project file handling. “Restore” does not guarantee a flawless restoration of problematic footage; it means we will do our utmost to improve quality within reason.
2. Project Fees & Payment
A non-refundable deposit of 50% may be required to secure your booking. The remaining balance is due upon completion of the edit (or as otherwise agreed in writing). If payment is not received within 7 days of the final invoice, Rowantree Media reserves the right to withhold delivery. Prices quoted are valid for 7 days unless otherwise stated. Payment can be made via bank transfer, card, or other agreed methods. Clients may also request access to manage their payment methods and invoices using their registered/associated email address.
3. Product Expectations
Footage Quality: Dissatisfaction with edit limitations caused by the quality of supplied footage is not a valid reason to withhold payment once usual and customary fixes have been completed. Standard editing includes limited correction for a few clips and does not include extensive fixes for large amounts of amateur or heavily compromised footage. In such cases, an upgrade (e.g., The Restore package) may be offered.
4. Music Licensing – Consumer Projects
If the final edited video is delivered directly to a consumer (e.g., a couple), Rowantree Media will determine the licensing required for any included music based on intended use and platform. Relevant licence(s)—such as the PPL Private Function Dubbing Licence and/or MCPS Limited Manufacture Licence—will be obtained and supplied alongside the final output. Additional licensing costs will be agreed in advance and charged to the client. Clients must inform Rowantree Media in writing, at the time of hire, of any intended public distribution of the final video. Based on this disclosure, a written quote, licensing requirements, and paperwork will be provided. Licensing fees must be paid in full before work proceeds. If no such process is followed, the project will be licensed under the standard LM licence (formerly PPL+MCPS) with the lowest tier coverage (e.g., private domestic use, up to five copies). Once the final video is delivered, further use or distribution beyond agreed terms is the client’s responsibility.
5. Music Licensing – B2B Projects
For production companies or business clients, it is the client’s responsibility to assess and obtain any licences required for their intended delivery method and platforms. Rowantree Media is not liable for any unlicensed use arranged after delivery, though guidance may be provided if requested.
6. No Guarantees of Perfection
While we aim to produce a high-quality film aligned with the described package, we cannot promise a flawless outcome if the raw footage itself is compromised. “Restore” refers to best efforts to stabilise, colour-correct, and otherwise enhance challenging footage.
7. Final Delivery & Destruction of Footage
Raw footage is stored only for the duration of the editing process and may be held on drives provided by the filming company (B2B). For consumer projects, all raw media is destroyed or securely overwritten upon completion, in line with our Privacy Policy. Clients must not rely on us for archival storage. Final delivery is made via cloud storage, accessible for up to two years (or until you download and confirm receipt). After that period, Rowantree Media may remove the file.
8. Revisions
Unless agreed otherwise, each package includes up to two rounds of revisions, to be requested within 30 days of delivery. Additional revisions may incur extra fees.
9. Refunds & Cancellations
Refunds: Due to the bespoke nature of wedding video editing, full refunds are not generally offered once editing has begun. We will work with you to resolve any quality issues within the agreed revision scope. Refunds or partial refunds after delivery are rare and only granted in exceptional circumstances.
Cancellations: If you cancel before editing commences, we may refund part of your deposit at our discretion. Any work already carried out will be charged for, and the deposit is typically non-refundable. If you cancel after most editing is complete, you remain liable for the full fee.
10. Liability & Limitations
Rowantree Media is not liable for technical issues (e.g., damaged or corrupted footage) that occurred prior to receipt. If provided with footage or files, you warrant that you own all necessary rights or permissions. We are not liable for incidental, consequential, or indirect damages.
11. Force Majeure
We will not be in breach of these Terms for failure to perform due to events beyond our reasonable control, including Acts of God, power outages, or third-party server failures.
12. Amendments & Governing Law
These Terms & Conditions may be updated from time to time. We will endeavour to notify you of significant changes. This agreement is governed by the laws of Scotland. Disputes are subject to the exclusive jurisdiction of the Scottish courts.
13. Acceptance
By booking and/or paying the invoice, you confirm that you have read, understood, and agree to these Terms & Conditions.
