Processing Data on Behalf of Our Clients

In many instances, we act as a data processor on behalf of our filming company partners, who serve as the data controllers. This means that we process personal data under the instruction and authority of the filming company. 

If you are an end user (for example, a wedding guest or couple) and have any questions or requests related to your personal data, please direct your queries to the filming company you originally provided your data to, as they control the data and handle any data subject rights requests. 

Data Destruction Policy

• No Long-Term Storage of Raw Footage:
  Rowantree Media does not retain raw footage on its own systems. All video and audio files remain on external drives provided by the filming company, who retains ownership.

• External Shuttle Drive Usage:
  When raw footage is provided through cloud storage, it’s downloaded directly onto a dedicated external shuttle drive for the duration of the editing process. Once the project is finished, the shuttle drive is securely wiped and will be continually overwritten by subsequent projects, ensuring no trace of your original footage remains.

• Data Retention:
  We host the final edited film solely to deliver it to the film company. The final edited film remains hosted on a cloud platform (such as Dropbox) for a maximum of two years, After this period, the final copy is deleted. No additional or unused content is retained.

• Access Restrictions:
  Only individuals directly involved in the editing process have access to the copy of the footage made available to us. Rowantree Media does not share any raw media with unaffiliated third parties.

• Secure Destruction & Return of Drives:
  As editing concludes, any cached versions of the footage are removed from our editing systems. The external drives—property of the filming company—are returned to them or repurposed by them. Rowantree Media does not keep any raw footage.

• Commitment to Confidentiality:
  Rowantree Media respects privacy and treats all captured material with discretion. We aim to produce a high-quality wedding film while ensuring all ancillary files are securely deleted after the editing process.
